Website terms
This website is run by the Hello Anytime Team. Hello Anytime is in a free pilot, run from the UK, while its company is being registered. Full company details (name, number, registered address and ICO registration) will be shown here before any payment is taken. Contact: use the form on our home page or call 07400 434185.
- Examples and video. The presenter in our video is an AI avatar, and the customers, businesses and calls shown on this website are made-up examples.
- Example screens and calls. App screens, text alerts and call transcripts shown on this website are examples with made-up names, numbers and addresses. The app screens are taken from the real Hello Anytime app running with sample data. Features and wording may change as we improve the service.
- Calculator. The missed call calculator is a rough guide based on the numbers you enter. It is not a promise of any result.
- Demo line. Calls to our demo line are answered by an AI, are recorded and are limited in length. Please do not give real personal details, card numbers or passwords on the demo line.
- Information only. We try to keep this website accurate, but it is general information and not advice. Prices and features on this website do not form a contract until you sign up and accept the Terms of Service.
- Our content. The Hello Anytime name, logo, text and design belong to us. Please do not copy them without permission.
- Links. We are not responsible for other websites we link to.
- Law. These website terms are governed by the law of England and Wales.
Terms of Service
These terms are a contract between Hello Anytime ("we", "us") and the business that signs up ("you"). During the free pilot no payment is taken; before paid plans start, these terms will name the registered company that provides Hello Anytime.
1. Business customers only. Hello Anytime is sold only to businesses and sole traders for use in their trade. By signing up you confirm you are acting for your business and not as a consumer. Consumer protection laws that apply only to consumers do not apply to this contract.
2. What Hello Anytime does. Hello Anytime uses artificial intelligence to answer calls forwarded to it, take details from callers, and send summaries to you. It is a message-taking tool. It does not replace you, a human receptionist, or the emergency services.
3. AI can make mistakes. Summaries, transcripts, translations, urgency flags and anything the assistant says are produced automatically and may be wrong or incomplete. You must check important details (address, price, date, safety) with the caller yourself before acting. You are responsible for the advice, quotes and work you give your customers.
4. Not an emergency service. Hello Anytime is not designed to handle emergencies. It may give general safety tips and tell a caller to ring 999, 105 or the gas emergency line, but we do not guarantee it will recognise an emergency or that an urgent alert will reach you.
5. Your responsibilities.
- Give accurate business information (services, hours, prices you allow us to say).
- Use Hello Anytime lawfully, including data protection, call recording and marketing laws (see the Data Processing Agreement).
- Do not try to remove, hide or reword away the AI and recording notice.
- Keep your login secure and tell us straight away about any misuse.
- Only forward numbers you own or are allowed to use.
- Keep a way for customers to reach you other than Hello Anytime.
6. Service availability. We aim for Hello Anytime to be available 24/7 but do not promise it will be uninterrupted or error-free. It depends on phone networks, AI providers and internet services outside our control. We may pause the service for maintenance, security or safety.
7. Plans, prices and payment. Prices are shown in the app and on our pricing page. The price shown is the total you pay; if VAT applies, it is already included. Fees are charged monthly or yearly in advance by card through our payment provider. Both plans include unlimited calls: we never charge for extra calls or minutes. Except for founding members' prices (clause 8), we may change prices with at least 30 days' notice by email; if you do not agree, you can cancel before the change starts. Late or failed payments may lead to the service being paused.
8. Free trials and offers. The free trial lasts 14 days and needs no card; nothing is charged unless you choose a plan. Founding members (the first 100 paying businesses): your price never goes up while you stay subscribed without a break. Switching from another call answering service, or referring a business that becomes a paying customer, gives one free month: the month after your first payment (switching) or your next bill (referral) and cannot be exchanged for cash. The money-back guarantee is explained in Cancellation and refunds. Pilot offers last for the period stated when you joined. We may end an offer for new sign-ups at any time without affecting ones already given.
9. Our liability (important).
- Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud, or anything else the law does not allow us to limit.
- We are not liable for loss of profit, revenue, jobs, customers, goodwill, business opportunity or data, or for any indirect or consequential loss, including a missed, misheard or wrongly summarised call.
- We are not liable for the acts of callers, your staff or your customers, or for advice or work you give based on a summary.
- Our total liability in any 12 months is limited to the fees you paid us in those 12 months.
10. Your liability to us. You will cover our reasonable losses and costs if a third party claims against us because you broke these terms or the law (for example, using Hello Anytime to call people without consent).
11. Content and recordings. Call recordings, transcripts and summaries about your callers belong to you. You give us permission to process them to run, secure and improve the service as the Data Processing Agreement allows. We will not sell them. We will only use them to train AI models if you switch that on.
12. Our intellectual property. The Hello Anytime app, voices we provide, prompts, playbooks, software and brand belong to us or our suppliers. You get a personal, non-transferable right to use them while your subscription is active.
13. Voice cloning. Where offered, you may only upload a voice that is your own or that you have written permission to use. You confirm you have that permission, and we may remove any voice at any time.
14. Suspension and ending. You can cancel at any time in the app (see Cancellation and refunds). We may suspend or close your account straight away if you break the Acceptable Use rules, do not pay, or if the law or a supplier requires it. Otherwise we will give you 30 days' notice. After closing, your data is deleted as the Privacy Policy says; export anything you need first.
15. Changes to these terms. We may update these terms. We will email you at least 30 days before a change that affects you negatively. Carrying on using Hello Anytime after that date means you accept the change.
16. Events outside our control. We are not responsible for delays or failures caused by things we cannot reasonably control, such as phone network outages, AI provider outages, cyber attacks, power cuts or government action.
17. General. This is the whole agreement between us. If a part of it is invalid, the rest still applies. We may transfer this contract to another company that takes over the service; you may not transfer it without our written agreement. No one else has rights under it. Not enforcing a right straight away does not mean we give it up.
18. Law and courts. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
Privacy Policy
This policy explains how Hello Anytime uses personal data. Hello Anytime is in a free pilot, run from the UK, while its company is being registered. Two roles. For businesses that sign up, we are the controller of their account data. For people who call a business that uses Hello Anytime, that business is the controller and we are the processor, acting only on the business's instructions (see the Data Processing Agreement).

Who we share data with. Only suppliers that help run Hello Anytime, under contracts that protect the data: phone network (Twilio), voice and AI providers (ElevenLabs, Anthropic, OpenAI or Google), hosting and database (Google Cloud, Supabase), messaging (SMS, and WhatsApp by Meta when available), payments (Stripe), and email. We never sell personal data or use callers' data for our own marketing.
International transfers. Some suppliers may process data outside the UK (for example in the USA or EU). When they do, we use UK-approved safeguards such as the UK International Data Transfer Addendum or the UK-US Data Bridge.
AI and automated decisions. AI transcribes and summarises calls and flags urgency. It only tells callers prices the business has typed in, always as a "from" price. If the business switches on booking during the call, the assistant can offer free times from the business diary and book one; otherwise any time is only pencilled in until the business confirms it. None of this makes decisions with legal or similarly significant effects on anyone; the business decides what to do.
Things the business chooses to switch on. If a business pastes its website address, we read that public page to draft its details, and the business checks the draft before it is used. If a business adds a Zapier or Make webhook, we send each new enquiry and booking to that address; the business is then responsible for where the data goes next.
Your rights. You can ask to access, correct, delete, restrict or move your data, or object to how it is used. Callers should contact the business they called first; we will help that business respond. You can also complain to the ICO at ico.org.uk or 0303 123 1113.
Security. Data is encrypted in transit and at rest, access is limited to people who need it, and we log access. If a breach puts people at risk we will tell the affected businesses and the ICO within 72 hours.
Children. Hello Anytime is not for under-18s. If a child calls, we only record what the call needs to pass on the message.
Changes. We will post updates here with a new date and email customers about important changes.
Data Processing Agreement
This agreement forms part of the Terms of Service and meets Article 28 of the UK GDPR. The business is the controller and Hello Anytime is the processor for callers' personal data.

We (the processor) will:
- Process the data only on the business's documented instructions (the Hello Anytime settings are those instructions), unless the law requires otherwise.
- Make sure everyone who handles it is bound by confidentiality.
- Keep appropriate security (encryption, access control, logging, regular reviews).
- Use only the sub-processors listed in the Privacy Policy, give 30 days' notice of any new one, and let the business object and cancel if it disagrees.
- Hold sub-processors to the same data protection duties.
- Help the business answer rights requests and carry out impact assessments where reasonable.
- Tell the business without undue delay (target 48 hours) after becoming aware of a personal data breach.
- Delete or return the data when the service ends, within 90 days, unless the law requires us to keep it.
- Provide information needed to show we meet these duties, and allow a reasonable audit once a year at the business's cost with 30 days' notice.
The business (the controller) will:
- Have a lawful basis for the calls and data, and tell callers about Hello Anytime in its own privacy notice.
- Keep the AI and recording notice in the greeting.
- Only instruct lawful processing, and not use Hello Anytime to collect data it is not allowed to have.
- Answer callers' rights requests, with our help.
International transfers. Allowed only with UK-approved safeguards. Liability. The liability limits in the Terms of Service apply, except where the UK GDPR does not allow them.
Acceptable and fair use
You must not use Hello Anytime to:
- Break any law, including data protection, call recording, consumer and advertising law
- Take calls for adult, escort or sexual services, gambling, weapons, drugs, or any business that is illegal in the UK
- Make sales, marketing or robocalls, or contact people who have not agreed to it
- Pretend the assistant is a human, or remove the AI and recording notice
- Collect card numbers, bank details, passwords or government ID numbers through calls
- Give medical, legal or financial advice through the assistant
- Harass, threaten or discriminate against anyone
- Clone or use a voice you do not have permission to use
- Copy, resell, reverse-engineer or overload the service, or test its security without our written permission
We may suspend an account straight away for serious misuse and will tell you why.
Unlimited calls and fair use. Both plans answer unlimited calls. There is no monthly call or minute limit, no charge for extra calls, and we never slow down, cut short or stop answering calls because you are busy. These are the only limits, and they exist to stop misuse:
- One business per plan. A plan covers one business and its own customers calling in. Several separate businesses need a plan each.
- Normal incoming business calls. Not for call centres, reselling Hello Anytime to others, marketing or robocalls, or automated diallers.
- Each call can last up to 15 minutes. Before that, the assistant politely takes a message so the owner can call back, and the caller can always ring again. Real enquiries almost always finish well within this. Callers the owner blocks, and prank or nuisance calls, are ended politely.
- Spam is blocked and never shown as a job.
- Call-backs from the app are for returning calls to your own customers, to UK numbers only. No cold calling or marketing calls.
- Follow-up texts (quote chases, payment and come-back reminders, booking reminders, on my way) go only to your own customers who contacted you or used your services, to UK numbers. Reminders that invite new work say "Reply STOP", and anyone who replies STOP is never texted again. Each business can send up to 300 follow-up texts a calendar month; tell us if you need more. You are responsible for the amounts and details you add.
- Team members (Pro): up to 5 people from the same business.
If we believe an account is being misused in one of these ways, we will contact you first, explain why and give you the chance to fix it or move to a suitable plan before anything changes.
AI and call recording notice
Every call starts by saying it is an AI assistant and that the call is recorded. UK law lets businesses record calls for business purposes only if callers are told, and UK GDPR requires people to know how their data is used. The notice cannot be switched off.
Hi, you've reached [business]. I'm [owner]'s AI assistant, and this call is recorded. How can I help?
If a caller asks: "I'm an AI assistant. I take your details so [owner] can call you back. Your details are used for your enquiry and to run the service."
If a caller objects to recording: the assistant takes only a name and number and says the owner will call them back personally. The caller can ask the business to delete the recording afterwards.
Short notice for a business's own website or invoices:
Calls to [business] may be answered by an AI assistant provided by Hello Anytime and are recorded and transcribed so we can deal with your enquiry. See our privacy notice or ask us for details.
Other languages: the same notice is given in the caller's language once the language is detected.
Cancellation and refunds
No contract and no cancellation fee. Cancel in the app with one tap at any time, or message the Hello Anytime Team.

After cancelling, you can export your enquiries for 30 days. Your data is then deleted within 90 days, except billing records we must keep by law. To stop calls reaching Hello Anytime, turn off call forwarding on your phone; we show you how in the app. Your phone number always stays yours.
Cookies
This website does not set any cookies and has no advertising trackers. To see which parts of the site are useful, it sends a few anonymous events (for example "pricing viewed") to our own server, without cookies and without storing who you are, so no consent banner is needed. Fonts are served from our own server, so your browser does not connect to Google or any other third party for them. If we ever add analytics or marketing cookies, we will ask for your consent first, as UK law (PECR) requires, and update this section. The Hello Anytime app uses only what it needs to keep you signed in and secure, and no advertising trackers.
Contact a person
For complaints, data requests (access, correction, deletion) or anything else, send us a message. A member of the Hello Anytime Team reads every one and rings you back within 2 working days. Please don't include card details.
Complaints
We want to fix problems fast.
- Use the contact form below (a person reads every message and rings you back), or tell us in the app (Plan and billing, then Talk to a person). Include the call date and time if it is about a call.
- We reply within 2 working days and aim to resolve it within 10 working days.
- If you are not happy with the answer, ask for it to be reviewed by a director, who replies within 10 working days.
- If a complaint is about personal data and still not resolved, you can contact the ICO (ico.org.uk, 0303 123 1113).
Callers with a complaint about a business's work should contact that business directly; we will pass the message on if asked.
